SafetyEvidence handles each country individually and has a distributed spread of virtual consultants (safety & health practitioners) conversant with all jurisdictions served, including yours.
For the purposes of this website and for the sake of simplicity, United States OSHA is interchangeable with the following jurisdictions and acronyms which SafetyEvidence serves:
- Canada (OH&S)
- United Kingdom (HSE)
- European Union (OSH)
- New Zealand (HSWA)
- South Africa (OHSA)
- United Arab Emirates (HSE)
- *Australia (WHS, OHS & OSH)
- **CalOSHA in California etc.
There are some Safety & Health variations within the Countries, Territories and Unions above.
For example:
*In Australia, four States and two Territories have implemented WHS, namely New South Wales (NSW), Queensland (Qld), South Australia (SA), Tasmania (Tas), the Northern Territory (NT) and the Australian Capital Territory (ACT), whilst two States, being Victoria (Vic) and Western Australia (WA) have implemented their own variation.
**In the US, Twenty–six states, Puerto Rico, and the Virgin Islands have OSHA-approved State Plans. Twenty–two State Plans (21 states and one U.S. territory) cover both private and state and local government workplaces.
Yes! Warning: This is fun.
In case you’re wondering, we’re real people just like you, not just an app.
No. Your coordinator can be absolutely anyone, providing they know how to use a smartphone or tablet or notebook to take photographs. We’ve had situations where some owners let their 12-year-old child take the required photos. It’s that easy!
Yes. Providing that your appointed coordinator can speak English.
[Note: SafetyEvidence is setting up infrastructure and app translations for other countries. Please Contact Us at support@safetyevidence.com to get a timeline for your requirement].
For simplicity and reasons of brevity, much of this website makes reference to American acronyms. However, SafetyEvidence has virtual consultants spread across international jurisdictions that take safety & health matters seriously.
Yes. Providing your appointed coordinator will have smartphone signal or access to WiFi at some stage during a 30 day period to upload your company data (mostly photographs) and download various emails from us so that relevant forms can be printed to facilitate toolbox/training meetings and enable employee signature (Paperless does not suffice and necessity for signatures is discussed in another FAQ below). A signal from your service provider or WiFi access on-site is not necessary as the app allows for the later transfer of photos and data when back online with WiFi access.
The app is designed to use very little data and bandwidth.
If your access to signal/WiFi services is less than once per 30 days, SafetyEvidence can accommodate, however, first explain your interval periods to support@safetyevidence.com so that we know and can prepare tasks up front.
SafetyEvidence reserves the right to not offer service to your business workplace or worksite if it is deemed to not be in the best interest of both parties.
Yes. Providing that the person you appoint to accompany our SafetyEvidence auditor during the 3 to 4 hour walkaround does speak English otherwise notify us of your language preference upfront at support@safetyevidence.com so that we can make provision.
Also, providing the worksite is not remotely located. Please supply full details, including address, when requesting an onsite (in person) audit so that prices can be given.
Yes. The power of SafetyEvidence is that we are able to offer a bespoke safety & health system for any business, anywhere!
Presently, advancements in our systems have enabled it to be bespoke so there’s no longer any limit on who we can help.
Send us details of your unique safety & health issues to support@safetyevidence.com. If you’re not unique, you can start protection immediately by picking the service that’s good for you in our Pricing section and with our 30 day money back guarantee, there’s no risk. Cancel anytime thereafter – we’re sure you won’t!

(This poster is available FREE from OSHA and is available in different sizes & languages)
Importantly, OSHA offers FREE assistance to identify and correct hazards for small to medium-sized employers, without citation or penalty, through OSHA-supported consultation programs in every State. Please make use of this FREE service to get your business started. It can’t be abused. Rule of thumb is that you may be able to get a free consultation about once every 72 months, at best, but there’s no knowing.
https://www.osha.gov/dcsp/smallbusiness/consult_directory.html
Other countries have similar support systems from the authorities which can save you money.
Yes. The SafetyEvidence app accommodates you regardless of whether you’re a small business or medium sized business in any industry or sector. Our experienced and professional safety & health consultants (virtual consultants) have seen it all and understand the complexities involved in keeping your business compliant with OSHA’s legal obligations. Or compliant with OH&S, HSE, HSWA, WHS, OHS, OSH or OHSA obligations, as the case may be, per your own jurisdiction.
Remember, as we’ve seen many times in our own lives, when our world is faced with a problem there’s always someone working on an answer.
Bookkeeping was answered by accounting software products such as Quickbooks, the difficulty of working with DOS was answered by Windows, mobile communication was answered by Motorola and now safety & health by SafetyEvidence.
In time, all safety & health will follow SafetyEvidence’s methodology.
Yes. This methodology is already also being considered for use by government regulators in terms of:
- Drones: To stretch their resources, OSHA in the USA is considering using drones to streamline and increase the number of site inspections with enhanced accuracy. Since some businesses already utilize drones to monitor their job sites, OSHA can work with them directly to review footage regarding onsite operations.
- Wearable Technology: With the ability to collect many types of data, wearable technology can record slip, trip and fall incidents and response times on site, along with streamlining injury reporting and record keeping.
Coordinators are directed by the app to take photographs of various information and workspaces plus equipment in your business (app still works offline). On average, depending on your industry, only a twenty-minute commitment is required per month.
In summary, twenty minutes per month plus your monthly subscription (for the App + Virtual Consultant) ensure you satisfy two mandatory legal requirements; the need to have a “live” safety & health system (a system that is managed every month) and the need to have a “continuously improving” safety & health system, proving you’re serious and care about safety and health issues in your business. The SafetyEvidence solution satisfies both of these requirements and eliminates the time you spend wondering “what safety & health work should I be doing next?”.
Yes & No.
Yes – all your submissions via the app are paperless photographs.
Every month the app directs you through about 5 or 6 tasks and for example, let us assume, one of those tasks requires a photograph of your Emergency Exit(s). The submission of this photo, through the app, allows our virtual consultants to spot things that are sometimes non-compliant in the background or foreground, such as a doorknob instead of a handle on an emergency exit door, which quickly results in a notification from SafetyEvidence being sent to yourselves for remedy.
No – for certain tasks, an email from us is sent to your coordinator containing relevant forms. Some forms are for employee signature purposes, for their acknowledgment that they have attended training and confirming they have understood the training. For example, Task Two may be a discussion surrounding your Company’s Sexual Harassment Policy or Bullying Policy. The relevant forms will need to be printed out, dated and made available for your employees to sign, with a pen. Only thereafter, will you or your appointed coordinator take a photo of these completed forms, through the SafetyEvidence app and in pressing SUBMIT, upload them to the Cloud for immediate access by one of our experienced OSHA professionals (virtual consultants) to study, analyze and provide corrective actions where necessary.
All information submitted to SafetyEvidence is stored privately and securely with encryption and redundant backup respectively and yes, SafetyEvidence is compliant with the European Union’s new GDPR (General Data Protection Regulation) which replaced the Data Protection Directive in March 2018, for the protection of EU citizen’s personal data.
All submitted photographs are stored in the Cloud, NOT on your Smart Device (unless you are momentarily out of signal or WiFi access). Any Android or Apple smart devices may be used, including tablets and notebooks.
If you have a business that handles or manufactures hazardous materials/chemicals, then SafetyEvidence will assist you to go paperless with your SDS’s (safety data sheets, formerly known as Material Safety Data Sheets or MSDSs) to comply with OSHA’s new hazard communication standard. Paperless SDS’s are also suitable for mobile workforces.
For a comprehensive explanation regarding the risks of having a completely paperless compliance system, please view this 1:48 minute video:
Yes, you can use as many different devices as you like at any time.
You can put the SafetyEvidence app on as many devices as you like, just use the same username and password. Workplaces having their own physical space or building require their own SafetyEvidence subscription with their own login and password (subscription prices are dependent on the number of employees per workplace).
Any Android or Apple smart devices may be used, including tablets and notebooks.
Yes. Except each site is its own business unit and as such has its own Emergency Plan, Emergency Assembly Point, Emergency Exits, Fire Extinguishers, Medical Aid box, Equipment etc. Therefore, each site requires a separate SafetyEvidence subscription.
Yes. SafetyEvidence does all this data entry for you as soon as you submit your photographed attendance registers. Business sites with 6 employees or more automatically get a Dashboard with their subscription, showing which employees have attended your sexual harassment training, for example, and which employees have not.
Smaller businesses wanting this facility can upgrade their subscription to the next level.
Yes. The SafetyEvidence system works to create your evidence, gather your evidence, store your evidence and produce your evidence if/when required.
The system is also designed to be used in a Court of Law in which all this evidence will prove your OSHA compliance since it exhibits that you have a “live” approach to managing your workplace safety & health and exhibits that you are “continuously improving” your businesses OSHA compliance. Having a “live” and “continuously improving” safety & health system are the two criteria, worldwide, required to satisfy the regulators and your local communities.
Furthermore, for companies with 6 or more employees, a dashboard with the app tracks and shows all your employee data (employee training attendances and absences etc.). Businesses with 5 employees or less pay a lower subscription rate and do not have a dashboard, but can upgrade their subscription to the next level to include the dashboard if desired. You need never be caught out by a disgruntled employee 5 years later, in a legal context, claiming they did not receive their “bullying policy” training, for example.
The dashboard is made possible because our SafetyEvidence support representatives do all the data entry for your employee names and attendances.
Yes. Whether you’ve got 6 employees or 99 employees, SafetyEvidence does all the data entry for you, so that via your dashboard, at the click of a button, you can see who has done trainings and who has missed certain trainings and reschedule them accordingly. This data entry is only done for businesses with 6 or more employees. You can upgrade your subscription package to include the management dashboard if you so desire.
We provide businesses which have 6 employees or more (permanent employees, temporary employees, part-timers, casuals, volunteers and contractors must be included) a dashboard so that one can keep track of training attendances. This way nobody slips through the cracks!
Full names are not required. Initials plus last names or vice-versa will suffice. If you want to keep their names confidential, then even nicknames are fine, providing everyone knows who the nickname belongs to and the person concerned signs-off training with their correct signature.
Yes. All workers including volunteers, temporary staff, part-timers, casuals and contractors need to be inducted into your business and included in your employee count for purposes of this subscription.
.. And, just as important: Host employers must treat temporary workers like any other workers in terms of training and safety and health protections.
We currently accept American Express, Visa, MasterCard, Diners, Discover credit/debit cards, (eChecks, ACH, automated debit orders and Paypal coming soon).
Additional payment methods are also available in some countries so request your desired method to support@safetyevidence.com and we’ll give you feedback.
No. We do this all online so there is no need for us to charge you an activation fee. However, on our part, there is a lot of initial setup work and data entry of your employee names during the first few days. Cancel anytime within the first 30 days to get your full 100% refund which is your Money Back Guarantee. Thereafter give us one (1) calendar month notice for cancellation. We’re confident you’ll stick with us!
To summarize, SafetyEvidence does all the ‘data entry’ for you from day one. We drive and build your Safety & Health program. We take all the heavy lifting off your plate and generate high-quality feedback every month on areas where you can save money or improve compliance.
Yes. We have a Company Policy not to change our subscription prices, ever, ceteris paribus.
Since conception in 2001, prices have never changed and leveraging technology has allowed us to continually improve our efficiencies without raising subscription prices. This is an ethos and legacy we are intent on maintaining.
The small monthly price, however, is no reflection on our ability to deliver a solid, robust system.
We operate on very small margins and pass the savings derived from advances in technology on to you.
Safety & health consulting has never been done on such a mass scale and you can be part of it. In time, all workplace safety and health for SME’s without unique challenges will follow this methodology.
You can get financially penalized (fined), the authorities can close the doors to your business or you can go to jail. In extreme cases all 3 scenarios may apply. In other scenarios, if your building is not to code, you may be forced to move out with immediate effect.
Additionally, a negative incident could be written up in the newspapers resulting in negative press and bad social media ratings, all of which affect your public relations.

Yes. This is true, in some countries, when utilizing the SafetyEvidence app, you can get up to 30% discounts on certain insurances when compared to similar ‘off-the-street’ policies.
Speak to us or email support@safetyevidence.com detailing your requirement and we will let you know if your jurisdiction currently has an insurance supplier. Some jurisdictions do not allow certain types of insurance. For example, New Zealand outlaws insurance to cover against compliance fines.
OSHA’s regulations on the OSHA poster in the USA are at 29 CFR 1903.2.
It’s easy to google your own country regulations, but ask yourself: Do you, as the business owner or manager, really have the time and the inclination to read and understand all the regulations properly to make sure you’re compliant? Not to mention keeping up with the changes thereof.

SafetyEvidence developed an app that works with a virtual consultant for Occupational Safety & Health Administration. This system works best in businesses comprising from 1 – 99 employees. The SafetyEvidence system easily & inexpensively handles your mandatory legal requirements & will become industry standard safety & health methodology. Note: Compliance Safety and Health Officers have more power than Police Officers and do not require search warrants to enter your business, impose penalties (statutory fines), close it down or press charges where jail time can result.
- App only requires 20 minutes per month, on average, to complete tasks
- Includes a Safety & Health Plan
- Bespoke and Industry Specific
- Customizable, if need be
- Comes with a Virtual Consultant (an experienced Health & Safety professional) to monitor your monthly submissions (mostly photographs) via the app for legal compliance, providing feedback on any impropriety (your vital human resources are not impacted)
- Includes a Support Representative to capture your training records and to keep you, or your responsible person (coordinator), on track to complete your specific 5 or 6 monthly tasks. We have a proven reminder system that kicks off on day 20 of your cycle which is a reminder phone call to the coordinator, followed on day 26 by a reminder email, followed on day 28, if the tasks have not been submitted, by a text/SMS being escalated to the business owner
- Private and secure cloud storage
- Management dashboard for businesses with 6 employees or more. Businesses comprising 5 employees or less can upgrade to a Dashboard by paying the higher subscription price
- The SafetyEvidence system satisfies the safety & health requirement to have a “live” safety and health system
- The SafetyEvidence system satisfies the safety & health requirement to be “continuously improving”. Together, these both prove to Authorities and local communities, wherever you are located in the world, that you are serious about safety and health
The history is that in 2001 a veteran tradesman, Gary, was carrying his fair share of aches and pains from his ‘hands-on’ work plus managing five-panel beating (body) shops.
Although Gary constantly heard a lot about workplace safety issues and health ramifications, he saw nothing which came close to developing a safe culture. This compelled him to do something, so in 2002 with nothing more than a bold idea and $200 in his pocket, Gary set out to make a real difference and he invented and patented a unique service for small businesses.
However, no sooner had the venture started when the first of many obstacles were encountered; the technology needed to complete the software wasn’t available and wouldn’t be for another 3 years!
By 2006 Gary had identified two things, do it yourself Safety & Health systems don’t work and personal contact with customers was imperative. The methodology was changed to include Support Representatives and SafetyEvidence went from a software company to a monitoring company.
In 2009 SafetyEvidence realized with its growth potential and core value of systemizing everything, that it was a perfect combination for global expansion. Initial forays into New Zealand were undertaken and not long after received a $15,000 grant from the NZ Department of Commerce to help promote the SafetyEvidence system amongst the business sector. SafetyEvidence is now an international business responsible for 1000’s of workers’ safety & health.
SafetyEvidence has also become a preferred supplier for many Organizations and Associations who see us as a good fit for their members.
More recently, SafetyEvidence has been engaged by Corporates which have a territorial, state, national or global footprint to assist with their Corporate Brand Protection. As a 3rd party monitoring company, SafetyEvidence seamlessly helps to create, gather, store and produce all types of evidence (not just safety & health evidence) for Corporate H.O.’s.
SafetyEvidence continues to challenge the belief that Safety & Health burdens a business’s resources and continues to challenge current paradigms regarding the successful running of a Safety & Health system and is the only company to be granted an Australian Innovation Patent for its methodology.
Being a fanatic for research & development, Gary now enjoys nothing more than being in the lab producing new and exciting products to compliment your business. You should see what’s earmarked for the future, it’s simply breathtaking.
Yes. Recently in 2017, a golf course.
SafetyEvidence was subpoenaed to produce all communication between one of our customers and ourselves. The customer, in this case, was a prominent golf club and the action against it was civil, not statutory. The injury occurred when the wind blew over a tree on the golf course striking a player. The player was badly injured and became paralyzed. The claim was for over $2.8 million.
The case was set to run for 10 days in the Supreme Court, however, on the seventh day, SafetyEvidence’s OSHA audit trail was called into evidence. Because this customer had been with SafetyEvidence for over 7 years, we were able to prove this customer was addressing their safety & health responsibilities to the Court.
SafetyEvidence really does four things very well; creating, gathering, storing and producing evidence.
Although SafetyEvidence was not called to attend the trial the manager of the golf club was, and here is their response in their own words.
“Things weren’t looking too good for the club until our lawyer (defense) started reading out some of the HUGE amounts of signed paperwork which SafetyEvidence had stored and sent into the court. Within a short time, an adjournment was called by the prosecution team and an out-of-court settlement was quickly reached…………there was no way we were going to win this case until this happened.”
Although the settlement was for an undisclosed amount, it is important to note that the club was pleased for two reasons; they were not found not guilty, so there was no prosecution, and the settlement was considerably less than what was sought after by the plaintiff. SafetyEvidence has been designed to be a simple, user-friendly app system, however, in court, for which it was also designed, it proves to be an extremely powerful tool in producing required evidence to stop a prosecution.
Yes. SafetyEvidence’s whitepaper addresses these concerns in depth and shows one how to deal with suppliers in a logical and professional manner. See the whitepaper in the Blog & Resources section.
Yes. This app is suitable for use by the Corporate Head Quarters of both small brands and large brands like McDonalds or KFC having 1000’s of sites dispersed internationally. All these corporates have a common interest in protecting the viability and public perception of their sites.
Typically, these corporate companies have multiple sites of the same type or same brand, all related to each other and doing the same or similar business, either regionally, territorially, nationally or internationally.
The SafetyEvidence app easily provides conformity across all workplaces, irrespective of their geographical spread. Isolated and remote workplaces pose no obstacle for SafetyEvidence’s Brand Protection.
