Whether you’ve got 6 employees or 99 employees, SafetyEvidence does all the data entry for you, so that via your dashboard, at the click of a button, you can see who has done trainings and who has missed certain trainings and reschedule them accordingly. This data entry is only done for businesses with 6 or more employees. You can upgrade your subscription package to include the management dashboard if you so desire.

Yes. The SafetyEvidence system works to create your evidence, gather your evidence, store your evidence and produce your evidence if/when required.

The system is also designed to be used in a Court of Law in which all this evidence will prove your OSHA compliance since it exhibits that you have a “live” approach to managing your workplace safety & health and exhibits that you are “continuously improving” your businesses OSHA compliance. Having a “live” and “continuously improving” safety & health system are the two criteria, worldwide, required to satisfy the regulators and your local communities.

Furthermore, for companies with 6 or more employees, a dashboard with the app tracks and shows all your employee data (employee training attendances and absences etc.). Businesses with 5 employees or less pay a lower subscription rate and do not have a dashboard, but can upgrade their subscription to the next level to include the dashboard if desired. You need never be caught out by a disgruntled employee 5 years later, in a legal context, claiming they did not receive their “bullying policy” training, for example.

The dashboard is made possible because our SafetyEvidence support representatives do all the data entry for your employee names and attendances.

Yes. SafetyEvidence does all this data entry for you as soon as you submit your photographed attendance registers. Business sites with 6 employees or more automatically get a Dashboard with their subscription, showing which employees have attended your sexual harassment training, for example, and which employees have not.

Smaller businesses wanting this facility can upgrade their subscription to the next level.

Yes. Except each site is its own business unit and as such has its own Emergency Plan, Emergency Assembly Point, Emergency Exits, Fire Extinguishers, Medical Aid box, Equipment etc. Therefore, each site requires a separate SafetyEvidence subscription.

Yes, you can use as many different devices as you like at any time.

You can put the SafetyEvidence app on as many devices as you like, just use the same username and password. Workplaces having their own physical space or building require their own SafetyEvidence subscription with their own login and password (subscription prices are dependent on the number of employees per workplace).
Any Android or Apple smart devices may be used, including tablets and notebooks.

Yes – all your submissions via the app are paperless photographs.
Every month the app directs you through about 5 or 6 tasks and for example, let us assume, one of those tasks requires a photograph of your Emergency Exit(s). The submission of this photo, through the app, allows our virtual consultants to spot things that are sometimes non-compliant in the background or foreground, such as a doorknob instead of a handle on an emergency exit door, which quickly results in a notification from SafetyEvidence being sent to yourselves for remedy.

No – for certain tasks, an email from us is sent to your coordinator containing relevant forms. Some forms are for employee signature purposes, for their acknowledgment that they have attended training and confirming they have understood the training. For example, Task Two may be a discussion surrounding your Company’s Sexual Harassment Policy or Bullying Policy. The relevant forms will need to be printed out, dated and made available for your employees to sign, with a pen. Only thereafter, will you or your appointed coordinator take a photo of these completed forms, through the SafetyEvidence app and in pressing SUBMIT, upload them to the Cloud for immediate access by one of our experienced OSHA professionals (virtual consultants) to study, analyze and provide corrective actions where necessary.

All information submitted to SafetyEvidence is stored privately and securely with encryption and redundant backup respectively and yes, SafetyEvidence is compliant with the European Union’s new GDPR (General Data Protection Regulation) which replaced the Data Protection Directive in March 2018, for the protection of EU citizen’s personal data.

All submitted photographs are stored in the Cloud, NOT on your Smart Device (unless you are momentarily out of signal or WiFi access). Any Android or Apple smart devices may be used, including tablets and notebooks.

If you have a business that handles or manufactures hazardous materials/chemicals, then SafetyEvidence will assist you to go paperless with your SDS’s (safety data sheets, formerly known as Material Safety Data Sheets or MSDSs) to comply with OSHA’s new hazard communication standard. Paperless SDS’s are also suitable for mobile workforces.
